What AI for 1C delivers in practice

Not a buzzword, but four clear scenarios.

A request for "AI for 1C" usually hides one of four tasks. First: stop typing documents by hand when a supplier sends a waybill as a photo or PDF. Second: learn about important things immediately instead of from a report at month end. Third: quickly find an item in a catalog of thousands when the client calls it by their own name. Recognizing waybills and documents from photos

Suppliers send waybills, invoices and acts in every form: a scan, a phone photo, a PDF from their own software. A warehouse worker or accountant retypes them into 1C line by line, checks the totals and looks up each item in the catalog. On a large delivery that is an hour of work and inevitable typos.

We have our own document recognition service, DocVision. It reads the document, extracts the header details (supplier, BIN, number, date, amounts) and the line items, then matches the lines to your catalog by supplier code, SKU, barcode or name. A draft receiving document is created in 1C.

  1. An employee photographs the waybill or forwards the file to a bot.
  2. The service recognizes the details and lines.
  3. Lines are matched to your catalog, and uncertain ones are flagged.
  4. A draft receiving document appears in 1C.
  5. The employee checks the flagged lines and posts the document.

Totals are checked separately: if the sum of the lines does not match the document total, or a price differs sharply from the last purchase, the line is flagged. That way recognition catches not only its own errors but also the supplier's mistakes on the waybill.

Notifications from 1C to Telegram and WhatsApp

What matters arrives on its own, in the messenger that is already open.

Managers do not sit in 1C all day, yet events they need to know about right away happen constantly. Notifications from 1C to Telegram or WhatsApp close that gap. A typical starter set:

Technically this is a 1C scheduled job that checks conditions on a schedule and sends a message through a bot. Rules and thresholds are configured in 1C, without a developer. WhatsApp uses the official business channel, Telegram uses the company's bot.

Smart product search

Find an item the way the client names it.

Standard 1C search looks for a substring. A client writes "wood screw 4 by 50", the catalog says "Screw ShSGD 4.0x50", and search finds nothing. A manager spends minutes on every order line, and a newcomer cannot find the item at all without help from an experienced colleague.

Smart product search accounts for typos, synonyms, different ways of writing sizes and units, transliteration and the meaning of the query. To do this, the catalog is indexed in a separate search service with vector search, and 1C queries it through an HTTP service. Results come back as a list of product cards with stock and prices, like a normal product selection.

The search understands Kazakh, Russian and mixed queries, as well as the terms builders, mechanics or medical staff use, once their vocabulary is added. The tidier the catalog, the more accurate the result, so we check its quality at the start.

The same search can be connected to the website, a sales rep mobile app or a bot. Then the client finds the item themselves and the manager receives a correct order. Technically this is part of the 1C API, which opens database data to other systems securely and with restricted rights.

AI agent for 1C

Ask questions about your data in plain language.

An AI agent for 1C answers staff and management questions using the database: "how much laminate did we sell in Astana in September", "which clients have not paid for more than 30 days", "is this order's item in stock and when is the next delivery". The agent builds the data query itself, gets the result and explains it in plain language, with links to the documents.

What matters in an agent is not the model but the boundaries. The agent works with data exported or exposed through an API, with the rights of the specific user: a manager will not see other managers' clients, the warehouse will not see margin. By default the agent only reads data. Actions that change the accounting, such as creating an order, happen only after human confirmation.

The agent can live in Telegram, a web portal or a mobile app. Implementation takes 4 to 10 weeks and starts with describing the questions people in the company actually ask. Dashboards and analytics on 1C data

Numbers on the executive's phone, not in a report on the accountant's computer.

1C reports are good for accounting but inconvenient for a daily glance from management: they have to be opened, configured and generated, which is almost impossible on a phone. A dashboard on 1C data shows the essentials in a browser or on a phone: revenue, margin, payments, stock, plan vs actual by manager, daily and weekly dynamics.

Data is exported from 1C on a schedule into a separate store, and the dashboard works from that. This way heavy analytics queries do not slow down the database users work in. Updates run hourly or daily, depending on the task.

Dashboard access is role-based: the owner sees everything, a branch manager their branch, a sales manager their own sales and plan. Dashboard numbers match 1C because they come from the same registers, not from separate spreadsheets.

How implementation works

First one task that pays off, then the next.

  1. Choosing a scenario. We find a task with a measurable effect: hours spent entering waybills, missed events, time spent searching for items.
  2. Data review. We check the quality of the catalog and reference data. AI will not fix bad data, and sometimes the right start is cleaning up duplicates.
  3. Pilot. We launch on one warehouse, department or document type, collect errors and refine the rules.
  4. Connecting to 1C. Through an extension or external data processor, without editing the standard configuration.
  5. Scaling up. After the pilot we connect other departments and the next scenario.

At every stage we agree on a metric: minutes spent entering a waybill before and after, how many events were missed before, how long a manager spends finding an item. Without a metric there is no way to tell whether the implementation paid off.

A pilot usually takes two to three weeks. It shows the real effect on your data before you invest in full implementation.

Neural network and server costs are accounted for separately: they depend on the volume of documents and queries and are calculated upfront during the pilot. We name them before launch so there are no surprises on the bill a month later.

Data security

Accounting data must not leak.

The first question people ask about bringing AI into 1C is where the data goes. The answer depends on the scenario. Notifications and dashboards work without any external neural networks. For recognition and search, only what the task needs is sent: the document or the query text, never an export of the whole database. For sensitive data the model can be hosted on your own server in Kazakhstan; it costs more, but the data never leaves your perimeter.

Access to 1C goes through a dedicated user with minimal rights: read access to the required objects only, and write access only where the scenario provides for it.
